Privacy Policy

Last updated: September 2026

This is the privacy policy for HoloCoach ("we", "us"). HoloCoach is the data controller for the personal information described below. You can reach us at info@holocoach.app with any questions about this policy or your data.

HoloCoach is a 3D fitness coaching app, currently in early access. Our website is www.holocoach.app.

What we collect and why

1. Early access sign-ups

When you register for early access, we ask for:

  • Your name and email address, so we can contact you about early access.

  • Your fitness goals, so we can build a product that fits what people actually want.

  • Whether you're training around an injury, and any detail you choose to share about it.

Information about injuries touches on your health, so the law treats it as "special category" data. We only collect it because you choose to give it to us, and we use it only to shape the coaching product and to understand what our early users need. We don't sell it, share it for advertising, or use it for anything else. You can ask us to delete it at any time (see "Your rights" below).

Our lawful basis for the injury information is your explicit consent, which you give by choosing to fill in that part of the form. For your name, email and fitness goals, our basis is your consent to join the early access list and, where relevant, our legitimate interest in building and improving the product.

2. News and updates

If you tick the news checkbox on the form, we'll send you occasional updates about HoloCoach by email. We use Squarespace Email Campaigns to send these. Every email has an unsubscribe link, and you can opt out at any time. Our lawful basis is your consent.

3. Website analytics and cookies

Like most websites, we use cookies and similar tools to understand how people use the site - which pages get visited, roughly where visitors are, and how they found us. This is provided by Squarespace's built-in analytics. We use this information to improve the site. Our lawful basis is our legitimate interest in running and improving the website. You can control or delete cookies through your browser settings.

Who we share your information with

We don't sell your personal information to anyone.

Our website, forms, email campaigns and analytics are all run through Squarespace, which processes personal information on our behalf as a data processor. Squarespace may store data on servers outside the UK; where it does, it relies on appropriate safeguards for international transfers.

We may also share information if the law requires us to, or in connection with a sale or restructuring of the business - in which case this policy would still apply to your information.

How long we keep it

  • Early access sign-up details: until the early access period ends and the product launches, plus up to 12 months, unless you ask us to delete them sooner.

  • Fitness goals and injury information: up to 24 months from when you gave it, or until you ask us to delete it, whichever comes first.

  • News and marketing consent: until you unsubscribe.

  • Analytics data: kept in line with Squarespace's standard retention, in aggregated or pseudonymised form.

Your rights

Under UK data protection law you have the right to:

  • See the personal information we hold about you.

  • Ask us to correct it.

  • Ask us to delete it.

  • Object to or restrict how we use it.

  • Withdraw consent at any time (this doesn't affect anything we did before you withdrew).

  • Receive a copy of your data in a portable format.

To use any of these rights, email info@holocoach.app. We'll respond within one month.

If you're not happy with how we handle your information, you can complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk. We'd appreciate the chance to put things right first, so do consider contacting us before you go to the ICO.

Changes to this policy

If we change this policy, we'll update the version on this page and change the "last updated" date above. If a change is significant, we'll let our early access list know by email.
